Job Summary
As Executive Assistant to the MD & Senior Management Team, you will be required to work closely with the MD and provide support to the wider team, both to build a mutually trusting relationship to help juggle the workload and free up time.  You should become indispensable as your manager's 'right hand person’.  You should have the confidence, capability and initiative of decision making and always try to be one step ahead in anticipating the needs for the working days and weeks ahead.


Responsibilities

  • Meeting logistics for onsite and offsite meetings

  • Coordinate complex calendar arrangements

  • Book all Travel

  • Diary management

  • Processing expenses and company credit card bills

  • Gather and prepare data for presentation purposes

  • Coordinate special projects/events as needed

  • Screening telephone calls and mail

  • Producing letters, reports and presentations as and when required

  • Providing documentation required for meetings

  • Pro-actively monitoring emails

  • Preparing the outgoing mail and distribute the incoming mail

  • Processing stationary orders

  • Organising contractors to fix technical or building related issues (electricians, printer issues etc.)

  • Ordering staff tea/coffee etc.

  • Ordering catering for meetings.

  • Ordering weekly Tesco shops for each Data centre

  • Reviewing current suppliers

Qualifications

  • Good written and spoken communication skills

  • Accuracy and attention to detail

  • Be able to prioritise

  • Confident

  • Self-starter

  • Cool under pressure

  • Being aware of company policies/financial and budget constraints

  • Excellent administrative skills

  • Smart polished presentation

  • A flexible and adaptable approach to work

  • The ability to work on your own initiative

  • Tact and discretion, for dealing with confidential information

  • Ability to remain unfazed by high profile individuals
