ABOUT THE ROLE

The Receptionist/ Administrator will look after front of house duties and offer administrative support to the Office Manager and the Administration team. The receptionist role will encompass administrative duties, making travel arrangements, booking meeting rooms and ensures things are running smoothly. This role requires flexibility and the ability to adapt to new situations. The receptionist will work across all the departments within the business and should be able to resolve queries or direct people to the correct person to resolve those queries. 


Key Duties and Responsibilities: 

As Receptionist you will often be the first person or sometimes the only person that people will have contact with when coming to Moy. Any client that comes to Moy will create their first impressions based on their experience with you. 

• The role will involve communication and collaboration with the Office Manager. 

• Offer assistance to anyone entering the building and keeping logs of visitors. 

• Assist the Office Manager with travel booking, stationery orders and organising meetings. 

• Processing warranties and ancillary certs 

• Maintain Proof of Delivery dockets. 


Key Duties and Responsibilities: 

• Supporting the Administration team with general administrative tasks. 

• Greeting visitors and directing them appropriately. 

• Answer telephone calls, and emails in a polite and friendly manner. 

• Maintain employee and department directories. 

• Booking travel. 

• Sorting and distributing post. 

• Maintain the meeting rooms calendar and schedule bookings. 

• Management of staff areas

• Organising milestone celebrations 


You will be required to be flexible in this position and must be prepared to undertake such other work as may be assigned to you by the Company from time to time. 


Skills: 

• Exceptional communication skills – confidence to communicate with customers. 

• Excellent time/diary management skills. 

• Excellent written and spoken English. 

• An upbeat and outgoing personality 

• Eagerness to learn. 

• A flexible can-do attitude. 

• Must be able to communicate via email and telephone.
